Administrative Assistant

12 Months fixed term, full-time, VPSG3  

Reporting to the Finance and Officer Manager, the position of Administrative Assistant will be responsible for providing high quality administrative support to the VLRC including:

  • answering and screening incoming telephone calls and taking appropriate action as required
  • managing the generic VLRC email inbox and calendar
  • preparation of correspondence, including confidential documents
  • managing, maintaining and updating the VLRC's contacts database, including liaising with team leaders to establish contacts list for initial stakeholder mail out for references
  • the accurate and timely payment of accounts, management of petty cash and credit card reconciliations.

As our ideal candidate, you will be required to demonstrate:

  • the ability to perform to a high quality, a wide range of administrative and office support duties
  • good communication skills - including, excellent telephone manner; interpersonal skills and a good knowledge of English grammar (including spelling and punctuation).

Proficiency in the use of:

  • Microsoft office product suite including Word, Excel, PowerPoint & Access
  • Lotus Notes and internet
  • Oracle and accounts payable procedures and practices
